What video conferencing means is live visual streaming of audio and video, creating a communication channel between two or more remote locations. In simple words, it is a visual communication between two or more participants located remotely.
How video conferencing works?
To understand video conferencing let's take an analogy. What will you do if you are given the task of transferring a huge inflatable sofa to any other location? Obviously carrying an air-filled sofa would be hard to work out and we would require a small truck. An easier way to perform the task is: -
1. Remove the air and flatten the sofa.
2. Carry it to the given location.
3. Refill the air with a blower.
In the case of video conferencing, the webcam and microphone capture audio/video (AV) signals in the form of frequencies and amplitudes. If we transfer these signals in its original form then it would require a huge bandwidth (remember truck?).
Thus, to smoothen the transfer and make the process easier, it also takes a similar approach. The process of video conferencing undergoes 3 steps- compressing, transfer, and decompressing.
At first, these signals are compressed into data packets (removing the air) and then transferred over the internet by a video conferencing software to the other end(s). On the receiving side, it gains back its originality through the process of decompressing (refilling the air).
What are the requirements for video conferencing?
Internet- A network over which we can transfer the data to the other end. Make sure that it is high-speed internet. Video conferencing software- to manage all the related tasks and make the communication smoother. Computer system- to be able to watch the video and host the video conferencing software. Microphone- to capture the audio signals Videocam- to capture the visuals Speakers or headphones- to be able to listen to the audio.
What are the applications of video conferencing?
Though video conferencing has a wide variety of applications, these are some of the few popular ones: -
1. To conduct remote team meetings
All the participants of the team meeting can virtually be in your conference room through a video conferencing system even if they are far apart. This application would be particularly helpful to companies having multiple branches. Using this technology, it would be easier to communicate with headquarters or other branches.
2. To showcase your expertise through webinars
Conducting seminars can be extremely costly and most companies can't afford it. So various organizations conduct webinars to educate their prospects and showcase their expertise in a given area. This helps them in building trust and capturing leads at a low cost.
3. For distance education programs
Professional institutes, colleges, and universities are taking advantage of video conferencing to reach the students who couldn't reach them and thus expanding their business.
4. To provide employees with high-class training
Hiring professional trainers to train employees can be more time and money consuming if they all have to be present under the same roof. Through video conferencing, employees (of all the branches of your company) can be trained remotely at a much lesser cost.
5. To demonstrate the product to a prospect
To send a sales representative to the location of the prospect is not feasible, especially if the product is bulky. Thus, these days smart companies are moving towards providing the product demonstration through online mediums.
6. To be able to work from home
This one is self-explanatory as it is video conferencing technology that has helped many companies to continue functioning and stay connected during the COVID-19 crisis.
Being able to present anywhere without being there can give you and your organization an immense amount of benefits. And video conferencing will help you fulfill it.
